CLEARANCE IN PROCESS on SHIP
A. Before the Ship Arrival
For the Clearance In process, the agent submits a ship arrival service in no later than 1x24 hours, the agent must first register the ship by submitting an agency appointment to the system (Inapornet) for verification by the Port Operator (KSOP). Agent's activities after verification of the internet data are as follows:

1. Conduct pre-metting at PPSA (One-Stop Service Center) to determine the piloting hours, mooring time.
2. Conducting the determination of berthing in the KSOP (Office of Port Authority and Port Authority) and the Agency itself to report ships for the movement.
3. Agents provide information to quarantine for ship arrivals
For the purposes of clearance in Ships, documents for shipping agent, Pelindo, Adpel archives and KSAL LALA (Sea Traffic) documents are required:

B. When the ship arrives

When the ship arrives the Agent takes the ship's documents, along with other documents for memorandum and the process of clearance in and clearance out. The documents taken on the ship are:
​
1. Registry Certificate
A certificate stating the nationality mark of a ship given by the government of the country of origin.
​
2. International Tonnage
Letters mentioning important ship sizes such as ship length (LOA), ship width (breadth), in vessel (depth), gross weight of the ship / Groos Tonage (GT).
​
3. Ship Safety Construction Certificate
A certificate stating the ship's room and ship's building lift cargo according to the type of ship according to the ship's standards and safety.

4. Ship Safety Radio Certificte
A certificate which states that the ship is equipped with a receiver and radio transmitter in accordance with the specified conditions.

5. Safe Manning Certificate
A certificate certifying the officer information and the crew.
​
6. Safety Management Certificate
A certificate stating the ship's management system according to the system used is based on the ISM Code standard.

7. International Ship Security Certificate

12. Classification of Hull Certificate

13. International Load Line Certificate
A certificate that explains and states the maximum and minimum load limit of the ship.

14. International Life Raft Certificate
A certificate declaring a life vest to be used during an emergency.
​
15. Port State Control
A certificate stating all ship conditions along with a certificate stating the seaworthy ship and its shortcomings.

16. Oil Record Book
Book that lists the official condition of the oil used by the ship.
​
17. Health Book
The book which states that the ship is clean and free from infectious diseases.
Agents report to Quarantine for Quarantine clearence by attaching:
1. Health Book
2. SSCEC (Ships Sanitation Control Exemption certificate)
3. Submit a request for clearance
4. Crew List
CLEARANCE OUT PROCESS SHIP
A. Checking documents by the organizer of the Port (KSOP), and the agent makes the departure report the contents of which are as follows:

1. Ship Load Manifest Data
2. Ship Crew Data
3. Ship Documents
4. Guide Out
​
Issuance of Pandu SPK for ships out no later than 1 (one) hour after the Sailing Approval Letter (SPB) is issued. And the issuance of SPOG no later than 1 (one) hour since the Pandu SPK is published.
​
For clearance Out of ship required documents as shipping agent archives and Adpel archives in the KSOP LALA (Sea Traffic) section by attaching:
​
1. LKK (Ship Arrival and Departure Report)
2. Proof of PUP Labuh
3. Proof of PUP Signs
4. Proof of VUP PUP
5. Crew List
6. Memorandum
7. Load Manifest
8. Master Sailing Declaration

B. After the SPB (Sailing Approval) clearence process is complete, the ship can continue shipping to the next port.
C. After all documents are clear and the documents are checked, the agent brings the documents back to the ship to be returned to the captain and the ship documents are re-examined by the captain.
